For teams billing from HubSpot

Every HubSpot invoice,
matched in your books

Billtwin compares your HubSpot invoices with Xero or QuickBooks Online and lists every invoice that is missing, booked twice, or different in total, currency, customer or payment status. Fix them before you close the month.

  2. 2Export from Xero or QuickBooks
  3. 3See every difference

Invoice syncs fail quietly

HubSpot shows a failed sync on the invoice card, but there is no workflow trigger for it, so nobody gets told. The native Xero app is rated 2.2 out of 5 by 47 reviewers, and the QuickBooks connector can book an invoice under the wrong company.

The result shows up at month end: revenue in HubSpot that is not in the ledger, receivables that were paid weeks ago, and invoices in two currencies.

Three steps, about two minutes

  1. 1

    Export from HubSpot

Sales, then Invoices, then Export. CSV or XLSX, the same period you close.

  2. 2

    Export from your books

Xero: Business, Invoices, Export. QuickBooks Online: the Invoice List report, exported to Excel or CSV.

  3. 3

    Fix what Billtwin lists

Findings are sorted by money at risk, each with the row number on both sides and how to fix it. Download the audit pack for your close file.

What every check looks for

Missing in the books

Invoices raised in HubSpot that never reached Xero or QuickBooks, with the amount and the HubSpot row.

Booked twice

The same invoice number used twice on one side, so the customer can be billed twice.

Different totals or currency

Tax, discount or line changes on one copy only, and invoices booked in the wrong currency.

Paid on one side only

Payments recorded in HubSpot but not in the books, or the other way round, before collections chase a paying customer.

Voided on one side only

An invoice cancelled in HubSpot that still sits as a receivable in the books.

Wrong customer

The twin is booked under another company name, a known sync mapping problem.

Your CRM says you billed it. Your books should say exactly the same thing, every month.

Questions

Do my invoice files leave my computer?

No. Billtwin reads both exports in your browser and compares them there. The files are never uploaded; our server only handles payments and the pilot form.

Which exports does it read?

The HubSpot invoices export (CSV or XLSX), the Xero sales invoices export (CSV, line or invoice level) and the QuickBooks Online invoice list (CSV or XLSX, report title rows are skipped). Other layouts work if you pick the columns in the mapping step.

How does it match invoices?

By invoice number first, then by the digits of the number (INV-1013 and 1013), then by the reference field, and last by the same customer, amount and date within seven days. Pairs found the last way are shown so you can confirm them.

Will it change anything in HubSpot, Xero or QuickBooks?

No. Billtwin only reads the files you export. It has no access to your accounts and cannot write to them.

What does the free check include?

Every check and the CSV audit pack, for up to 150 HubSpot invoices per run. Larger files are checked on the 150 most recent invoices until you upgrade.

What does Pro add?

No invoice limit, so the whole month or quarter is checked in one run, plus email support that answers within one business day. Pro customers are first in line for connected daily monitoring.

What is the monitoring pilot?

A connected version that reads HubSpot and Xero or QuickBooks through their APIs every day and emails you new differences. It is in pilot: join the list and we set it up with you.

Can I get a refund?

Yes. Within 14 days of a payment you get a full refund, no questions asked. Email support@atesensoftware.com or reply to your Paddle receipt.
